1. Allocating Seats

Browse to https://qlickets.com/en/dashboard/organizer

Accessing the Seat Allocation Tool

On the Dashboard page, Select ‘Seat Allocator’ on the Navigation Bar on the left.

Select the ‘Event’ of your choice in the drop down and click   

You are now able to select the event date, and click

Note: You are also able to view all unallocated seats, against all event dates,

Select  and choose Unallocated Seats.

To assign seats, tick the box on the Allocate Seats column.

You will then be able to tick the seats you’d like to assign the ticket too.

Click ‘Allocate Seat’ at the bottom of the page.

Note: The tickets will turn the same colour as the order after applying the allocation. You will NOT be able to allocate seats across different classes (A Standard ticket in a Deluxe seat for example)

Managing Seat Availability and Capacity

The tool bar along the top of the Seat Allocator allows you to remove seats from sale and disable all seats on any timeslot.

Select  

To take tickets off sale, use the first box, the number denotes how many tickets have been held/taken off sale.

T: Total Quantity of tickets
A: Available on Sale
S: Tickets Sold

To take the entire class of ticket off sale, use the second box.

Note: Before and after taking an entire ticket class off sale

 

 

 

 

 

 

 

Use the third box to note up any reasoning for taking seats off sale for other staff members.

2. Creating a Manual Order

 

2.1

Use the left navigation bar to find ‘Manual Order’

 

 

 

 

Select ‘Event’

Select the event date and time slot

Select

Set the required ticket quantities and the ticket type.

Note: Select Premium if the order requires wheelchair access.

 

Save the order at the top of the page

Add/Update service charges & Fees (Secure my booking). You can override the pricing for tickets, and services.

Click ‘UPDATE CART’ to submit any changes.

Set ‘Order Status’ to Unpaid and click ‘PLACE ORDER’

A Copy Payment Link button will appear at the top of the page. You can copy the link and send this over to the customer via email.

 

From the Customer side, the page will look like the below.

The standard form to enter all address information.

Payment is made using Stripe and a confirmation email is sent to the customer.

3. Generating Reports

 

3.1

Accessing the Reporting Section

On the left-hand side navigation bar, select ‘Reports’

 

 

 

Running Fee’s report

Select ‘Fees’ in the navigation bar.

Fill in the filtering as required

You will then be able to export the report to CSV or XLSX file.

 

4. Handling Refunds

 

4.1

Locating the Customer Order

Use the Orders option in the navigation bar

 

 

You will then be able to filter using any of the below options.

Note: The following information can be entered into the ‘user search’ box

First name, Surname, Post code, Email address.

 

Select the Order (the order id on the left)

Select More Details under Payment

You will then be able to refund part or all of the order amount.

Note: You can choose whether to refund and cancel the order or to keep it with the dropdown.

 

 

The order page will look like the below

Updating the Order Notes and Status.

Notes will appear in the red box at the top of the order.



Note – If tickets are already allocated seats, the allocations will automatically be removed.

 

 

 

 

 

5. Resending Confirmation Emails

 

5.1

Finding Customer Orders

Use the Orders option in the navigation bar

You will then be able to filter using any of the below options.

Note: The following information can be entered into the ‘user search’ box

First name, Surname, Post code, Email address.

Select the Order (the order id on the left)

Once you have found the order, select ‘Resend confirmation Email’.

You can edit this before sending.

 

6. Merging Accounts

In the event of a customer ordering on a guest account, and it needing to be merged, you can merge this under the order page.

Find the order, select ‘Edit Billing Details’

 

Here, you can update the customers Billing details, as well as merge the account with another.


Type the email address of the account you would like to move the order to.

Select Confirm.

 

 

 

 

 

The order now exists under the new account

 

7. Creating a Checkout Custom Field

Custom fields can be created to collect specific information from customers (for example, their car registration for parking). Logic can also be applied so that the custom fields only show for specific ticket types or dates.

Browse to ‘My Events’

Select the ellipses on the right side of the event.

Select ‘Checkout custom fields’

 

 

 

 

Select ‘+ Add Custom Field’

Fill in the form

Label – This is shown to the customer as a prompt.

Description – This is also shown to the customer.

Field type – Choose from single line text, multi-line text, dropdown or checkbox.

Required or Optional – Whether the customer MUST fill in the custom item to checkout.

Sort Order – If you have multiple custom items, where in list do you want this to show (0 being highest)

Apply to – Select whether the rule applies to a specific ticket type OR date OR Both type and date.

Minimum Quantity – Select the minimum quantity required to show the field on the order.
